SUMMARY : Role Overview

This role provides comprehensive administrative and coordination support to both the Executive Committee (EXCO) and project leads. With over 40 active and upcoming projects, the Project & Executive Operations Coordinator will act as a central hub for project documentation, deadline tracking, and cross-functional communication. The role includes planning support, document control, meeting management, budget monitoring assistance, and ensuring efficient collaboration between departments and service providers.

This is a mid-level administrative role with opportunities for growth into a more senior support capacity. The individual must be process-driven, highly organized, and committed to meeting deadlines in a dynamic environment.

Key Responsibilities

  • Support multiple project leads with coordination, timeline tracking, and deliverable management
  • Act as Super Admin for project documentation and submission systems
  • Schedule meetings, capture accurate minutes, and manage follow-up action tracking
  • Maintain updated project timelines and report on critical milestones
  • Track budget alignment: monitor planned vs actual spend and flag deviations
  • Use project management software (e.g., MS Project, Agile, Prince2, Six Sigma) for scheduling and reporting
  • Provide general admin support: document filing, control, and printing
  • Ensure internal archiving and compliance protocols are followed
  • Facilitate cross-team collaboration including external service providers
  • Support EXCO with planning, reporting, and coordination-related administrative functions

POSITION INFO : Requirements

Education & Qualifications

  • Certificate or diploma in Project Management or Business Administration (preferred)
  • Experience

  • Minimum of 3 years’ experience in project coordination, admin, or operational support
  • Experience using project planning or collaboration tools (e.g., Smartsheet, MS Project, Agile, etc.)
  • Technical Skills

  • Intermediate to advanced MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong knowledge of scheduling, reporting, and document control practices
  • Attributes
