Project Administrator
Purpose:
To provide administrative support for the effective implementation of agricultural projects, ensuring the smooth delivery of training, technical support, digital engagement, and reporting activities. The Project Administrator will assist in planning, organizing, and maintaining documentation and logistics to help ensure projects are delivered on time, within budget, and to the required quality standards.
Key Responsibilities
Project Planning & Mobilisation
- Assist in updating and maintaining detailed project implementation plans, timelines, and milestones.
- aSupport the team in organizing logistics for training sessions and meetings, including venue bookings, travel arrangements, materials preparation, and scheduling.
- Maintain and update project management tools, tracking sheets, and reporting templates.
- Assist in planning and scheduling agricultural project activities, training sessions, and stakeholder meetings.
Training & Session Coordination
- Assist internal teams in ensuring that training sessions are well-organized and aligned with project objectives.
- Prepare training materials, attendance registers, and evaluation tools for all sessions.
- Provide administrative support during training events, including registration, logistics coordination, and record-keeping.
- Prepare summary reports on training activities, documenting participation, outcomes, and alignment with internal metrics.
- Support monitoring and evaluation processes by assisting with data collection and reporting.
Field Operations & Logistics
- Provide administrative support for organizing logistics for field operations, including transportation bookings, accommodation arrangements, and distribution of materials.
- Help track the progress of field activities and assist in flagging any risks or delays to the project timelines.
- Assist in monitoring project expenses to ensure that activities remain within the approved budget.
General Administration
- Maintain accurate and organized project documentation, reports, and records.
- Manage administrative tasks related to procurement processes, budgeting assistance, and reporting requirements.
- Support team meetings, including scheduling, preparing agendas, taking minutes, and tracking action items.
Qualifications and Experience
- Diploma or Bachelor’s degree in Project Management, Business Administration or a related field.
- Minimum 3-5 years’ experience in an administrative or project support role, preferably in agricultural projects, agribusiness, or development environments.
- Experience working with digital platforms, data management tools, or apps in agricultural or project contexts is an advantage.
- Familiarity with data capturing, record keeping, and analytical processes, with proficiency in platforms like Excel (advanced formulas), Power BI, Google Looker Studio, Tableau, or Airtable is beneficial. Experience with cloud-based tools such as Google Sheets and Microsoft 365 suite is also advantageous.

Location: Johannesburg
Contract Duration: Fixed-term contract of 12 months
