Overview
Mventech is seeking a highly motivated Document Controller with Project Administration capabilities to support mining and engineering projects. This dual-function role ensures the integrity and traceability of project documentation while also assisting in day-to-day project administration tasks, enabling efficient execution and close-out of projects.
Qualifications
- Matric certificate (required); diploma or certification in records management, project administration, or engineering documentation (preferred)
- 3–5 years\' experience in document control and/or project administration within mining, engineering, or construction environments
- Experience working on-site or in remote project environments (advantageous)
- Strong organizational, communication, and multitasking skills
- Proactive, with a desire to grow in both project documentation and project support functions
Responsibilities
Document Control
- Establish and manage document control systems in line with project and regulatory standards
- Receive, register, distribute, and archive drawings, specifications, contracts, and reports
- Ensure version control and formatting across all documents
- Coordinate document workflows with engineering, procurement, construction, and quality teams
- Monitor and report document status to project managers and stakeholders
- Support audits by ensuring complete and accessible documentation
- Train project staff on document control tools and procedures
Project Administration
- Assist in tracking project deliverables, milestones, and schedules
- Prepare and distribute meeting agendas, minutes, and project correspondence
- Support resource planning, timekeeping, and coordination of project team activities
- Maintain project registers (risks, issues, actions, decisions)
- Help ensure compliance with internal and client reporting requirements
- Provide administrative support to project managers and teams as required
Technical Skills
- Proficiency in document/project management platforms (e.g., SharePoint, Aconex, Procore, EDMS)
- Strong understanding of engineering documentation (e.g., drawings, datasheets, specifications)
- Familiarity with mining and construction workflows and terminology
- Knowledge of ISO 9001 and relevant document control standards
- Advanced skills in MS Office, especially Excel, Word, and Outlook
- Ability to generate reports and dashboards for document tracking and project updates
