Job Description
Although our production and financial results are the engine that drives our business, it is the depth of capability in our people that will continue to determine First Quantum’s ongoing success. Reporting to the Procurement Operations Manager & working within a team of 3 dedicated to one of our key Zambian Mining operations, the role will focus on supporting all procurement and expediting scope for FQM’s SA related purchases including sourcing/supplier management, contract management, cost/budget management, data analysis/reporting & compliance/risk management.
Key Responsibilities
The Procurement Officer’s general accountabilities include, but are not limited to, the below:
Sourcing & Supplier Management:
Maintain vendor data relevant to equipment, materials, parts & spares
Generate quotations for the FQM customer base and/or end users for the supply of equipment, supplies & services
Manage existing supplier relationships, monitoring performance & conducting regular review
Build and maintain good working relationships with new suppliers where required
Purchase and source from reliable suppliers in terms of quality, price and performance
Use creative local (and international when required) sourcing strategies using all available resources
Support and Expedite the supply of equipment and materials to site
Generate and issue purchase orders to suppliers for required goods and services
Coordinate deliveries to site and arrange transportation / logistics support
Conduct after sales service: follow up on warranties, repairs and returned items
Contract Management:
Assist with materials and services contract administration as needed
Negotiate contracts with suppliers to ensure favourable terms and pricing
Create Forward and Fixed Purchase Agreements where possible and monitor these
Cost Management and Budgeting:
Assist with pricing information for other than procurement purposes such as the preparation of budget submissions, scopes of work, detailed costing for identified modifications and upgrades, as required
Perform operational cost analysis with the aim of reducing costs & enhancing financial performance within the department
Reduce the need for on-sellers / middlemen / buying houses
Compliance and Risk Management:
Implement quality control measures to guarantee products meet required specifications
Aim to provide ethical and commercially based procurement for The Company
Keep abreast of changes in regulations and industry standards that might impact procurement operations
Data Analysis and Reporting:
Conduct audits & prepare financial analyses of companies with which contracts have been established.
Prepare procurement-related reports and analysis
To handle records and information for the procurement of materials, products or services in the organisation
Qualifications:
Grade 12 completed. Bachelor’s degree in Supply Chain Management, Procurement or related field preferred
Diploma in Purchasing / Procurement or other related fields e.g. Warehousing and Logistics
Experience & Technical Skills Required:
5 years’ experience within the Mining, OG&C, construction, agriculture or natural resources industries required
Knowledge of procurement policies, regulations & legal requirements. An appreciation of warehousing, accounting and audit procedures
Experience in the formulation and interpretation of quotations, purchase orders and procurement spreadsheets
Strong technical knowledge of mining and related equipment preferred
Proficiency in Microsoft Office (MS Word & MS Excel). A working knowledge of computer-based supply systems required (PRONTO preferable) & knowledge of accounting software an advantage
Behavioural Traits Required:
Strong interpersonal, communication & negotiation skills
Organised, efficient, driven & ability to perform in a high pressure environment
Reliable, self-motivated and prepared to exercise initiative
Service orientated, strong commercial acumen, good sense of judgement & high levels of integrity
Mature, professional & able to work with limited supervision
Collaborative , “can do attitude”& effective team player
Other Requirements:
Candidates must have the right to work in the applicable region without visa sponsorship
Willingness to work and travel across FQM’s operations and locations worldwide
Fluency in English is required. Proficiency in other languages highly regarded
