POSITION INFO :
As the Procurement Administrator, your duties could include the following :
Manage the full purchase order process (from requisition to delivery)
Ensure accuracy, compliance, and that timelines are met
Review purchase requisitions to confirm required approvals and support documentation
Track and follow up on orders and shipments
Coordinate with suppliers and internal teams to ensure timely store deliveries
Proactively resolve order, invoice, and delivery issues to minimize operational disruptions
Maintain an up-to-date supplier database
Support supplier performance tracking across price, quality, delivery, and service
Communicate clearly with suppliers regarding orders, specifications, and any changes or issues
Foster strong supplier partnerships through ongoing engagement and service alignment
Support standard procurement negotiations to secure competitive pricing and favourable terms
Conduct routine stock counts and reconciliations
Investigate discrepancies and ensure compliance with audit and FAR requirements
Assist in managing stock rotation and obsolescence prevention strategies
Oversee de-installed and maintenance stock
Collaborate with Finance and Waste Management teams
Partner with Store Operations and Finance to forecast procurement needs and maintain optimal stock levels
Maintain accurate records of inventory movements
Coordinate with warehouse and store teams to ensure efficient and accurate receipt of goods
Verify incoming shipments against purchase orders
Assist with processing returns for damaged or incorrect goods
Additional duties as required
Skills & Experience :
3 years of experience in a similar position
Strong communication skills
Qualification :
Completed Matric (Grade 12)
Relevant diploma in Supply Chain Management, Business Administration, Logistics or related field
Relevant procurement or inventory management certifications would be highly advantageous
