Job description

Job title : Procurement Administrator

Job Location : Gauteng, Johannesburg

Deadline : April 17, 2025

Key Responsibilities :

  1. Vendor and Delivery Management : Work with vendors to ensure committed delivery dates are met, coordinate the timing and means of delivery, and manage critical part expediting. React and communicate any deviation from vendor committed delivery dates to the Category Lead and maintain close relationships with Senior Buyers.
  2. Supplier and Orderbook Management : Work with suppliers to action all exception messages, requests from the business to change delivery, and support suppliers in managing PO Confirmations and Delivery dates in Coupa. Manage the orderbook, communicate changes to internal and external stakeholders, and align with suppliers weekly.
  3. Operational and Administrative Tasks : Create, expedite, and confirm Intercompany purchase orders, manage delivery dates on SAP, update order details, inbound orders on ERP, and support importation and customs processes. Determine required mode of transport for goods, resolve invoice queries, and communicate changing requirements with suppliers.
  4. Compliance and Policies : Ensure adherence to HSE and housekeeping requirements, adhere to the Duty of Care Policy at all times, and take on any other responsibilities commensurate with the role.

Job Knowledge / Education and Qualifications :

  1. Diploma in business, logistics or related Supply Chain discipline. Three years related experience and/or training; or equivalent combination of education and experience.
  2. Ability to read, analyse, and interpret general business periodicals, technical procedures, or company regulations. Ability to write reports, business correspondence, and procedure manuals. Effectively present information and respond to questions.
  3. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
  4. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  5. Proficiency in MS Office, SAP, COUPA, and ERP equivalent systems.
