Job description

A growing manufacturing / distribution company is seeking a detail-oriented Procurement Administrator to take full ownership of procurement functions, inventory control, and supplier management. The successful candidate will play a vital role in streamlining procurement processes, optimizing stock levels, and ensuring the timely acquisition of quality goods at competitive prices.

Key Responsibilities

  • Identify, evaluate, and engage suppliers and vendors for consumables.
  • Negotiate prices, contracts, and payment terms.
  • Monitor supplier performance and resolve disputes.
  • Stay current on competitor pricing and market trends.
  • Source alternative products and suppliers as needed.
  • Purchasing & Orders
  • Place and manage purchase orders based on forecasts and inventory levels.
  • Track and follow up on orders to ensure timely delivery.
  • Match purchase orders with delivery notes, GRNs, and invoices.
  • Submit correct documentation to the creditors department for processing.
  • Inventory & Stock Control
  • Collaborate with warehouse and inventory teams to maintain optimal stock levels.
  • Monitor stock rotation and ensure compliance with storage and safety standards.
  • Forecasting & Planning
  • Work closely with production and operations teams to forecast demand.
  • Plan supply schedules to avoid stockouts or overstocking.
  • Reporting & Documentation
  • Maintain accurate procurement records and supplier communication logs.
  • Generate regular procurement, inventory, and supplier performance reports.
  • Liaise with logistics, quality control, and production teams to ensure smooth operations.
  • Troubleshoot supply chain issues and support process improvements.
  • Cost Control
  • Monitor procurement spend and identify cost-saving opportunities.
  • Conduct market research for informed buying decisions.
  • Assess suppliers for reliability, quality, cost, and delivery consistency.

Skills & Requirements

  • Grade 12 Certificate (Matric)
  • Diploma / Degree in Procurement or Supply Chain Management
  • Driver’s License
  • 3–5 years of experience in procurement, inventory control, or supply chain management
  • Manufacturing or distribution environment experience preferred
  • Intermediate to advanced Microsoft Office skills (Excel, Word, Outlook)
