The Office of the Chief Justice South Africa is seeking a Pool Judge's Secretary in Gauteng. You will manage Judges' appointments, correspondences and court documents. Ideal candidates should have a Grade twelve certificate and complete at least 20 modules toward a law degree, along with secretarial experience.

REQUIREMENTS:

  • Grade twelve certificate, a minimum of 20 modules completed towards an LLB, BA or Bachelor Law Degree. A minimum of two secretarial experience, a valid driver’s license. An LLB Degree or Bachelor Law Degree will be an added advantage. Results must accompany the application. Shortlisted candidates will be required to write a typing test.

DUTIES:

  • Ensure attendance and screening of all incoming and outgoing calls.
  • Manage the Judge's appointments and meetings diarization.
  • Type Judgements and manage correspondences and filing.
  • Handle signed Judgments and orders, ensuring delivery in court or virtually, and coordinate with typists and the Library.
  • Receive, screen visitors, and attend to queries.
  • Record and file all incoming and outgoing documents.
  • Order and collect stationary for the Judge.
  • Verify files received from various sections with the Registrar.
  • Maintain the register of reviews, updating and signing on receipt and return.
  • Update the register/template of reserved judgments and notify relevant offices upon judgment delivery.
  • Coordinate transcribed judgments for approval and signature.
  • Receive, file, and verify heads of Arguments from stakeholders.
  • Inform parties of reserved judgment dates and procedures.
  • Prepare the bench book and ensure files are ready before court sessions.
  • Call cases and record proceedings as per the court roll.
  • Manage case number calling and party identification.
  • Administer Oath IDs or declarations when required.
  • Handle, control, and note exhibits professionally.
  • Ensure correct endorsement of orders on files and Caselines.
  • Organize travel and accommodation arrangements timely.
  • Submit the Judge’s logbook monthly and manage vehicle preauthorizations.
  • Remind the Judge of invoice submissions for S&T claims and other expenses.
  • Submit court roll to the Statistical Officer weekly.
