Job summary

A leading logistics company in Johannesburg is seeking 2 experienced POD Clerks to enhance their operations. You will handle all aspects of the Proof of Delivery (POD) process, ensuring accuracy and timely communication with clients. Ideal candidates will have a Grade 12 qualification and several years of relevant experience in the courier industry.

Qualifications

  • Minimum 3-5 years relevant courier experience required.
  • Proficiency in MS Office and Parcel Perfect preferred.

  • Debrief trip sheets and ensure all details on the POD are filled correctly.
  • Capture verbal PODs into the system and verify outstanding PODs.
  • Assist customers and maintain turnaround time for PODs.

Job description

Our client is seeking 2 experienced POD Clerks to join the Spartan, Johannesburg team.

Responsibilities:
  1. Debrief trip sheets received from drivers.
  2. Ensure receivers sign and complete details on the POD, including name, signature, date, time, and stamps if required.
  3. Attach required documents to the POD, such as GRVs, GRNs, waybills, delivery notes, and invoices, and cross-reference attachments with waybills.
  4. Note discrepancies on Parcel Perfect and report to warehouse management.
  5. Capture all verbal PODs onto the system daily.
  6. Scan and upload PODs onto the system.
  7. Assist customers via telephone politely and confidently.
  8. Send daily missing PODs report to specified branches.
  9. Verify trip sheets against outstanding PODs daily.
  10. Check online waybills for duplicates.
  11. Forward PODs to customers daily or within an agreed timeframe.
  12. Follow up on at least 50 outstanding PODs daily.
  13. Retrieve account copies for resigning if not supplied by customers.
  14. Ensure outstanding PODs are scanned and returned to customers.
  15. Check customer deliveries to maintain a 5-day or less turnaround time for PODs to be returned.
  16. Provide PODs to the client both verbally and in hardcopy upon request.
  17. Prepare floor reports upon request.
  18. Ensure previous month’s PODs are resolved and systems cleared, with only current month’s PODs outstanding.
  19. Confirm dispatch of all freight for delivery when required.
  20. Capture daily verbal PODs into Parcel Perfect.
  21. Note and report problem freight promptly, and follow up daily.
  22. Perform other tasks as needed to ensure smooth operations.
  23. Book and follow up on clients’ collections.
Requirements:
  • Grade 12 qualification.
  • Minimum of 3-5 years relevant courier experience.
  • Proficiency in MS Office.
  • Parcel Perfect experience preferred.
