Role Summary

The main purpose of this role is to manage factory administrative activities related to reception duties, employee payroll submission, and indirect materials and services procurement at the Canelands manufacturing site. The role involves collaborating with functional teams to ensure payroll and procurement tasks are completed accurately and timely.

Responsibilities
Administrative: Payroll submission
  • Review, analyze, and document clocking data weekly to calculate employee working times.
  • Submit weekly reports for managerial review and approval.
  • Compile monthly payroll data for final approval and submission within deadlines.
Administrative: Leave management
  • Check and advise managers on leave discrepancies regularly to ensure timely corrections.
Administrative: Petty Cash management
  • Reconciling petty cash accurately and timely before approval.
Switchboard and Reception
  • Operate switchboard effectively, take and pass messages accurately.
  • Handle visitors professionally, minimizing delays.
  • Respond to employee and client queries.
Ad-hoc
  • Participate in SHEQ and 5S standards adherence.
  • Assist in site event planning, courier arrangements, and stock takes.
  • Update reports, conduct audits, and handle documentation as needed.

  • Manufacturing, Maintenance, Logistics, Planning & Warehousing teams: communication regarding purchase requisitions, payroll, and leave issues.
  • Payroll team: leave accuracy, payroll, petty cash.

External:

  • Vendors: assist with supplier delivery performance data.
Knowledge, Skills, and Experience
  • 1-3 years experience with ERP platforms like SAP, Ivalua, or eProcurement systems.
  • 2-4 years in administrative roles or procurement of indirect materials/services in agro-chemicals or chemicals.
  • Experience across processes like MRO, manufacturing, maintenance, logistics, warehousing, CAPEX & OPEX.
  • Advanced Excel and Word skills.
Technical Requirements
  • Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
  • Excellent organizational, communication, and negotiation skills, proficiency in procurement software.
