This role involves office management, preparing board packs, liaising with shareholders and directors (non-executive level), and overseeing the smooth day-to-day operations of the office.
You will also manage a small support team comprising the Receptionist, Driver, and Cleaner.This dynamic role is suited for someone who thrives in a fast-paced environment, takes initiative, and handles confidential matters with discretion.Key ResponsibilitiesProvide high-level administrative support to the CEO, including calendar and diary management.Coordinate and compile board packs and materials for shareholder and director meetings.Manage and lead the office support team (Receptionist, Driver, and Cleaner), including leave planning and basic HR administration.Oversee day-to-day office operations, including maintenance and supplier management.Manage travel arrangements for the CEO and senior management.Handle company fleet administration (usage logs, petrol cards, contracts) and cellphone contracts.Maintain effective filing systems, databases, and contact lists.Support budget tracking, procurement of office supplies, and expense reporting.Liaise with internal and external stakeholders, including service providers, senior managers, and clients.Maintain confidentiality and handle sensitive information professionally.Assist with internal event planning and execution, as well as special projects.Skills & Experience RequiredProven experience as a Personal Assistant or Executive Assistant supporting C-suite or senior management.Excellent verbal and written communication skills.Strong organisational and multitasking abilities.High attention to detail and the ability to manage multiple priorities.Strong interpersonal skills and a professional demeanour.Proficiency in Microsoft Office Suite and office systems.Experience managing small teams and overseeing office operations.Discretion, confidentiality, and sound judgement.Knowledge of the South African food manufacturing industry is advantageous but not required.QualificationsBachelor's degree in Business Administration, Office Management, or a related field.Valid driver's license (advantageous).Solid understanding of office procurement and facilities management.Additional DetailsSeniority level : Mid-Senior levelEmployment type : Full-timeJob function : AdministrativeIndustry : Marketing Services
