Personal Assistant to Group CEO – Johannesburg

Description: Our client in the Pharmaceutical Industry based in Johannesburg is currently seeking a Personal Assistant to the Group CEO.
Requirements:
- Bachelor’s degree in Business Administration, Management, Communications, or related field.
- Additional certifications in Project Management (PMP, PRINCE2), Executive Assistant Training, or similar are preferred.
- Minimum of 5 years experience supporting C-suite executives as a Personal Assistant, Executive Assistant, or Chief of Staff.
- Experience in a multi-company or group environment is highly desirable.
- Knowledge of financial reporting, strategic planning, and project management is advantageous.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Experience with calendar management tools (Google Calendar, Outlook).
- Familiarity with project management tools (e.g., Smartsheet).
- Understanding of financial dashboards and reporting tools (Power BI, Tableau).
- Strong communication skills, both written and verbal.
- Knowledge of business operations, financials, and corporate strategy.
- High discretion and ability to handle confidential information.
- Exceptional organizational and multitasking abilities.
- Proactive problem-solving skills and high initiative.
- Strong emotional intelligence to build relationships with senior leaders.
- Ability to remain calm under pressure and meet deadlines in a fast-paced environment.

Responsibilities include but are not limited to:
Executive Administrative Support:
- Manage and optimize the CEO’s calendar across multiple companies.
- Screen and prioritize emails, calls, and correspondence.
- Draft and proofread reports, presentations, and communications.
- Prepare meeting agendas, minutes, and follow-up action plans.
- Serve as liaison between the CEO and stakeholders, including MDs, board members, and clients.
- Organize board meetings, strategic offsites, and reviews.
Performance and Project Management Support:
- Monitor KPIs for all group companies.
- Oversee strategic projects, ensuring alignment with goals.
- Assist with financial tracking, budgets, and expenses.
- Manage cross-company initiatives for efficiency and synergy.
Travel and Logistics Management:
- Arrange domestic and international travel.
- Prepare detailed itineraries.
- Track expenses and reimbursements.
Communication and Confidentiality:
- Handle confidential information responsibly.
- Draft correspondence for stakeholders and partners.
- Maintain professional external relationships.
Office and Resource Management:
- Maintain document management systems.
- Implement productivity tools.
- Coordinate with HR, Finance, and Operations teams.
