Position Overview
Our client is seeking a highly organized, proactive, and resourceful Personal Assistant to support the dynamic Director of a prestigious law firm. This role is ideal for a motivated individual who excels in managing both professional and personal affairs with precision and discretion. Requirements

  • Minimum 5 years in a similar role, preferably in a law firm or professional services environment.
  • Bachelor’s degree or relevant qualification preferred.
  • Proficiency in MS Office Suite, financial software, and legal research tools.
  • Excellent time-management and organizational skills.
  • Strong interpersonal and communication skills.
  • Independent, with the ability to anticipate needs and act decisively.
  • Problem solver with a creative and resourceful approach.
  • Discreet, trustworthy, and able to handle sensitive information.
  • Willingness to travel as required, both locally and internationally.
  • Multilingual capabilities are a plus.

Responsibilities

Professional Support:

  • Manage and coordinate the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Handle correspondence, including emails, letters, and phone calls, ensuring timely and appropriate responses.
  • Prepare, proofread, and organize legal documents, reports, and presentations.
  • Maintain and manage confidential client files and records.
  • Conduct legal and business-related research as needed.
  • Liaise with clients, attorneys, and other stakeholders on behalf of the Director.
  • Assist in the preparation and submission of compliance and regulatory documents.

Personal Support:

  • Coordinate personal appointments, household tasks, and private events.
  • Book travel, accommodations, and itinerary planning for personal trips.
  • Manage household budgets, oversee domestic staff, and arrange services or repairs.
  • Reconcile receipts, handle petty cash, and maintain financial records for personal expenses.

Administrative Tasks:

  • Manage office supplies and maintain organizational systems.
  • Oversee bookkeeping, including invoice management, receipt reconciliation, and expense tracking.
  • Coordinate special projects or events, both professional and personal.
