Job description

Personal Assistant to Director – Parktown, Johannesburg.

Opportunity available for a Personal Assistant to Director at a digital creative agency based in Parktown, Johannesburg.

Salary: R25k – R27k per month.

Requirements:

  • 5+ years’ experience as a Personal Assistant
  • Bookkeeping skills
  • Own Car and Driver’s License
  • Must be available to travel.
  • Must also be available to the executive after hours or weekend, where necessary.
  • Must be very resourceful, with excellent attention to detail
  • Excellent organisation and people management skills
  • Working knowledge of Word processing, Spreadsheets and other Productivity Software Tools
  • Discretion and Tact
  • Software: MS Teams, Microsoft Office – Word, Excel, PowerPoint, Acrobat Writer
  • Sage Accounting software

Responsibilities:

  • Diary Management
  • Scheduling Meetings; Internal and External
  • Preparing Reports and PowerPoint Presentations
  • Taking minutes in meetings
  • Arranging Travel, Hotels and Transfers, and events
  • Administration and filing
  • Manage and order office supplies etc
  • Manage and run personal errands for Executive
  • Manage relationship between suppliers and client
  • Control the budget and allocate resources
  • Generate relevant Finance spreadsheets for payments and invoicing
  • Quoting and Invoicing via Sage
  • Liaise with accountant and providing necessary info for VAT, Invoices, etc.
  • Catering arrangements for meetings/breakfast/events as well as film/photography shoots.
  • Arrange Directors meals and teas/coffee daily
  • Build and develop a network of contacts and continually update.
  • You will be required to set up and manage a CRM System
  • The working environment may vary – you will be required to work on film/photography sets in and around the country.
  • Manage and run for Executive across multiple businesses.
