What you will be doing :

  • Oversee daily calendar management, including scheduling meetings, property viewings, and internal engagements.
  • Proactively identify and resolve potential scheduling conflicts.
  • Draft, edit, and manage the distribution of client correspondence and follow-up communications.
  • Screen, organise, and prioritise incoming emails and messages.
  • Compile and prepare documents and meeting materials in advance of client appointments.
  • Monitor and follow up on action items, offer letters, and client feedback after engagements.
  • Keep the CRM updated with meeting summaries, task statuses, and deal progress.
  • Maintain accurate records of key documentation, sales agreements, and client milestones.
  • Support the team with personal administrative tasks, including travel arrangements, coordinating couriers etc.
  • Liaise with internal departments to track deliverables and respond to information requests.

What our client is looking for :

  • 3 years’ experience in a Personal Assistant or Executive Assistant role.
  • Impeccable attention to detail and a proactive approach to problem-solving.
  • Experience in property, real estate, legal, or finance sectors will be an advantage.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities under pressure, while maintaining confidentiality.
  • Proficient in Microsoft Outlook and the full Microsoft Office suite.
  • Familiarity with Salesforce or similar CRM systems will be a plus but training will be provided.
