POSITION INFO : Purpose of the job :
The Personal Assistant will be responsible for providing high-level administrative and operational support. The personal assistant will act as a gatekeeper and liaison, ensuring the executive’s time is optimized and strategic priorities are supported and enhance efficiency and productivity.
Key Responsibilities include but not limited to the following :
- Manage dynamic calendars, including scheduling meetings across time zones and coordinating with internal and external stakeholders.
- Manage executives' calendars and schedule appointments.
- Drive the Executive to meetings as when required
- Pre-empt and act on the needs of Executive to increase Executive’s productivity.
- Handle confidential communications, emails, and follow-ups with precision and professionalism.
- Prepare and organize meetings, including agendas and materials.
- Organize travel arrangements, including tech conference bookings, visa applications, itineraries and accommodation.
- Prepare presentations, reports, and briefing documents using tools such as but not limited to MS Office, Google Workspace, Notion, or Confluence.
- Assist with project tracking and coordination using platforms like MS Planner, Click Up, Jira, Monday.com or Asana.
- Support onboarding of new team members and coordinate internal and external events.
- Conduct research on emerging technologies and companies, or competitors as when requested.
- Maintain digital filing systems and ensure data security protocols are followed.
- Manage access to executive and efficient prioritisation of tasks and calendar entries.
Minimum Qualifications, Experience, and Knowledge :
- Grade 12 (Matric)
- A National Diploma / Degree in Business Administration and / or related field advantageous.
- Proven experience as a Personal Assistant or similar role.
- Have a valid driver’s license.
- Good understanding of modern technology.
- Excellent communication and interpersonal skills.
- Strong organisational and time management abilities.
- Proficiency in Microsoft office suite.
- Discretion and confidentiality.
- Ability to work independently with minimal supervision.
- Good organizational skills with high standards in attention to detail and accuracy.

- Good problem-solving capabilities and can adapt easily and flexible.
