Who are we looking for?
We are seeking a highly organized, proactive and professional Personal Assistant to provide high-level support to our executive team. The ideal candidate is not only a master of coordination and time management but also trustworthy, resourceful, detail-oriented, and able to manage a wide range of tasks in a fast-paced environment. Experienced in supporting governance processes and board-level engagement will be advantageous.

What will you do: Provide high-level executive and administrative support to the company Director and COO to ensure seamless coordination of business and personal schedules, board governance processes, and communications. Role includes management of office administration.
- Personal Assistant to CEO and Chief Operations Officer
- Effectively and discreetly manage personal and work schedule
- Personal errands
- Diary management
- Logistics and travel management for senior management
- Company Governance and Board meetings Management
- Manage Company documentation – CIPC, Shareholders and BBBEE
- Management of all board meetings and related documents for all companies including staff trust
- Office Administration
- Ensure cleanliness of offices
- Coordination of Office events
- Monitor office supplies and liaise with vendors.
- Assist with expense tracking, reimbursements, and petty cash management
- Stakeholder Management and Communication
- Positive relations with all stakeholders
- Complaints resolved within an acceptable time frame
- Coordinate internal communications and follow up on action items.
- Draft professional emails, memos, and internal notes on behalf of the executive
- Other administrative duties
- Payments, purchasing and uploading of invoices
Requirements
Qualifications and Requirements:
Minimum Requirements:
- Diploma in Office Administration/Business Administration/ Public Administration/ Secretarial studies or related field(s)
- 3-5 years of experience in a senior administrative or executive support role, ideally supporting C-suite executives or board members.
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
- A valid driver’s license

- Confident and articulate - ability to be the face for the business with new clients
- Experience in board meeting preparation, minute-taking, and governance-related processes advantageous.
- Familiarity with corporate governance frameworks and company secretariat support will be a strong advantage.
