Job Description
Our client is the leading supplier of perspex/polymers in South Africa, with applications including events/exhibitions, architecture, farming/food production, and large-scale lighting. We are looking for a Payroll Officer to join their team.

Responsibilities

  • Astrow System (clock card system) Administrator
  • Approval of overtime & shift changes in the Astrow System
  • Ensure Biometric Unit - Clock Card Machine is always connected and in working order
  • Maintain correct employee master data in Astrow System, including a photo (headshot) of the employee
  • Set up Astrow System to link total hours report with VIP Payroll for hours to be uploaded
  • Upload hours directly into VIP Payroll from Astrow System
  • Weekly review of hours in Astrow System, resolve any queries (such as shift changes), and ensure total hours are correct for payroll processing
  • Super user/Administrator for VIP Payroll
  • Create new employee records in VIP Payroll
  • Process leave in VIP Payroll
  • Process payroll values and capture values in VIP Payroll
  • Generate reports at month-end in VIP Payroll
  • Clean up Master Data in VIP Payroll
  • Capture EE & SDL in VIP Payroll
  • Capture shifts for Leave Enhancement Pay Calculation in VIP Payroll
  • Manually send out payslips
  • Process consultants' invoices through payroll
  • Manage salaries & 3rd party payments through FIHRST
  • Reconcile medical aid, GAP, etc., from supplier statements to payroll reports
  • Submit Medical Aid & GAP Cover submissions for MEIBC Staff
  • Handle Provident fund recon & statements for MEIBC Staff
  • Process Provident fund withdrawal documentation for MEIBC Staff
  • Submit monthly Risk Benefit Schedule to Momentum for staff with fixed salary
  • Manage nomination and beneficiary forms for risk benefits
  • Submit EMP201 and handle queries
  • Submit EMP501
  • Submit COIDA IOD and ROE
  • Handle UIF applications and submissions
  • Conduct HR Inductions for new employees from a payroll perspective
  • Prepare new employee contracts & other contracts
  • Update existing employee contracts
  • Ensure adherence to HR Policies & Procedures
  • Handle Industrial Relations - Disciplinary actions (Hearings, Warnings, Performance Management) using a 3rd party provider, only for PE office
  • Manage retrenchments
  • Implement ESS (Electronic payslips & leave submissions)
  • Coordinate Momentum Annual Medicals & New Starters at our PE location and all other offices
  • Participate in Union and MEIBC Meetings
  • Book and manage casual staff on the production line and for all other locations


Requirements

Skills & Abilities

  • 6 to 10 years of experience
  • Experience in a manufacturing environment is essential
  • Attention to detail and meticulousness are essential
  • Strong planning and organizing skills, along with excellent time management
  • Experience working with MEIBC (Metal Engineering Industries Bargaining Council) and Unions (NUMSA)
  • Good communication skills, both written (spelling and grammar) and spoken
  • Ability to perform calculations & basic math, reconciliations, and resolve queries
  • Emotional Intelligence

Qualifications

  • Matric
  • Diploma in Payroll
  • Sage VIP Training courses
