Job Description
Our client is the leading supplier of perspex/polymers in South Africa, with applications in eventing/exhibitions, architecture, farming/food production, and large-scale lighting. We are seeking a Payroll Officer to join their team.
Responsibilities
- Astrow System (clock card system) Administrator
- Approval of overtime & shift changes in Astrow System
- Ensure biometric unit (clock card machine) is connected and operational
- Maintain accurate employee master data in Astrow, including employee photos
- Set up Astrow System to link total hours report with VIP Payroll for uploading hours
- Upload hours directly from Astrow to VIP Payroll
- Review weekly hours in Astrow, resolve queries, and ensure accuracy for payroll processing
- VIP Payroll: act as super user/administrator
- Create new employees in VIP Payroll
- Process leave and payroll values in VIP Payroll
- Generate reports at month-end in VIP Payroll
- Clean up and maintain master data in VIP Payroll
- Capture EE & SDL data in VIP Payroll
- Input shifts for Leave Enhancement Pay calculations
- Manually distribute payslips
- Process consultant invoices through payroll
- Handle salaries and third-party payments via FIHRST
- Reconcile medical aid, GAP, and other supplier statements with payroll reports
- Manage Medical Aid & GAP Cover submissions (MEIBC Staff)
- Reconcile and process Provident Fund statements and withdrawals (MEIBC Staff)
- Submit monthly Risk Benefit Schedule to Momentum (fixed salary staff)
- Manage nomination and beneficiary forms for risk benefits
- Handle EMP201 and EMP501 submissions and queries
- Manage COIDA IOD and ROE submissions
- Process UIF applications and submissions
- Conduct HR inductions for new employees from a payroll perspective
- Prepare and update employment contracts
- Ensure adherence to HR policies and procedures
- Handle industrial relations issues, disciplinary hearings, warnings, and performance management, using third-party providers (for PE office)
- Manage retrenchments and related processes
- Implement ESS (Electronic payslips & leave submissions)
- Coordinate annual medicals and onboarding for new starters at PE location and other offices
- Participate in union and MEIBC meetings
- Book and manage casual staff on production lines and other locations
Requirements
Skills & Abilities
- 6 to 10 years of payroll experience
- Experience in a manufacturing environment is essential
- Strong attention to detail and meticulousness
- Excellent planning, organization, and time management skills
- Experience working with MEIBC and unions like NUMSA
- Good communication skills, both written and spoken
- Proficiency in calculations, reconciliations, and query resolution
- Emotional intelligence and curiosity
