Our Client is Looking for a Payroll Officer to join their team
Area/Location: Franschhoek, Cape Town
Overview:
A dynamic opportunity is available for an experienced Payroll Officer to join a fast-paced luxury hospitality environment. This role supports the Human Resources and Finance departments by ensuring accurate payroll administration and effective management of employee time and attendance records. The ideal candidate demonstrates a high level of attention to detail, integrity, and the ability to manage payroll functions independently while collaborating effectively with department heads.
Main Responsibilities:
- Load, terminate, and transfer staff on the payroll and PRP system, including fingerprint registration.
- Monitor employee clock-ins and resolve any irregular or incorrect entries.
- Provide explanations to new staff regarding first-month payments, payslips, overtime, and termination pay.
- Distribute employee benefit information and ensure completion of beneficiary forms; update relevant third-party portals.
- Ensure all managers authorise hours worked and leave transactions by the set deadline.
- Send Sage pay registers to managers for review and approval.
- Submit salary review reports to Finance for approval and forward the bank file to the Financial Manager for payment processing.
- Load new staff and payslips on the ESS (Employee Self-Service) system and run the scheduler.
- Process month-end payments for terminated employees and prepare UI-19s and salary schedules.
- Reconcile monthly EMP201 submissions for timely uploads.
- Reconcile all third-party transactions and submit UIF files according to the Finance Calendar.
- Prepare and submit medical reconciliations, month-end reports, and General Ledger files to Finance.
- Ensure all requirements for mid-year and year-end tax processes (EMP501 reconciliation) are met and IRP5s are issued via ESS.
- Conduct monthly annual leave reconciliations to maintain alignment with the PRP system.
- Identify and flag absenteeism trends or patterns of sick leave abuse to the relevant managers.
- Process and submit all Injury on Duty (IOD) claims via the COID system.
- Foster strong interdepartmental communication and maintain positive working relationships.
- Respond promptly to payroll and leave queries from employees and management.
- Provide payroll-related support to senior management, including the CEO and Finance Manager.
- Compile and distribute the monthly birthday list.
- Implement and maintain payroll procedures to ensure efficiency and compliance.
- Provide assistance with general HR functions as required.
Experience & Skills Required:
- 3–5 years of payroll experience
- Experience in Human Resources (advantageous)
- Advanced proficiency in MS Office
- Advanced knowledge of payroll systems (Sage 300 preferred)
- Exceptional attention to detail
- Ability to manage payroll independently and accurately
Minimum Requirements:
- Matric Certificate
- Relevant qualification in Payroll or Human Resources
- A financial qualification will be advantageous
- Strong communication and interpersonal skills
- Preference will be given to candidates residing in Franschhoek and surrounding areas
