Coloplast has an exciting opportunity for a Payroll & HR Administrator to join our People & Culture team, reporting to the HR Business Partner.
The Payroll & HR Administrator will support and coordinate various HR processes and programmes. This role involves managing HR systems, providing HR support, payroll processing, and driving process improvements and efficiencies.
Major Areas of Accountability
- Payroll
- Prepare input data and payroll files within agreed timeframes for submission to the provider.
- Ensure monthly earnings, deductions, and company contributions are accurate and reconciled to supporting documents.
- Maintain payroll input data on an access-controlled server.
- Upload salary payment files to SharePoint for approval.
- Issue payslips to employees monthly.
- Respond to employee inquiries, providing information and following up as necessary to ensure smooth communication and timely resolution.
- Prepare payroll-related compliance submissions for employees and the employer.
- Take full ownership of the payroll function.
Compliance
- Coordinate BBBEE certificate renewal requirements with the service provider to ensure renewal before expiration.
- Promote awareness of HR policies and correct processes.
- Participate in the Employment Equity Committee to ensure compliance.
- Ensure compliance with POPIA and PAIA regarding sensitive personal information.
- Meet statutory deadlines for reports and submissions such as Employment Equity, Skills Development, and Workman's Compensation.
- Advocate best practices for HR processes.
Administration
- Coordinate recruitment and termination administrative functions.
- Update employees on HR initiatives via intranet, email, or other platforms.
- Maintain personal files and records in both hard and soft copies.
- Process transactions accurately and manage employee data in HR software.
- Conduct HR data audits and generate ad hoc reports.
- Prepare and maintain monthly staff headcount reports.
- Assist with other HR-related tasks as assigned by the HRBP.
Essential Qualifications
- Bachelor’s Degree in HR or a related field preferred.
- Experience in Human Resources preferred.
- Knowledge of payroll processing and compliance.
- Proficiency in Microsoft Office applications.
- Effective time management, administrative, and communication skills.
- Working knowledge of HR and payroll practices.
