Job title: Payroll Administrator (Fixed Term)

Responsibilities
- Input Processing
- Monitor and action payroll input submitted via shared space / ticketing system
- Validate information received for accuracy and completeness
- Accurate capturing of input on EC or global input file in line with Payroll guidelines - verify total kilometers travelled and rate per kilometre for travel claims; verify total overtime hours and claim rate; validate hours for additional work and capture the claim using the correct cost centre
- Process New Starts, Late Starts, Promotions/Demotions, transfers and Terminations on EC; ensure all relevant supporting documents are on record for staff movements/transactions; complete CTC salary structure and benefits structure per Payroll guidelines; verify Job Details on EC against supporting documents; resolve discrepancies with HR/line manager prior to processing; ensure Provident Fund contribution % aligns with onboarding documents
- Update payroll transactions requiring corrections on electronic correction forms
- Capture bank detail changes (where applicable) via EC ESS; verify against uploaded Proof of Banking details; call employees to confirm changes before payroll closing; if changes are received after payroll closing, notify the employee that the current month salary will be paid into the existing bank account; schedule the bank account change for next month integration
- Assist with the annual payroll audit process by providing information/documents as requested
- Identify payroll risks and escalate to line manager for intervention
- Monitor adherence to company payroll policies and procedures; report deviations to line manager
- Stakeholder Engagement / Relations
- Liaise with HR regarding payroll closing date / timelines as approved by Payroll Lead, in collaboration with GSS / PS (Payroll calendar)
- Attend to payroll queries and escalate to line manager where required
- Distribute Payroll Recon for payroll checks to be done by HRO / HRA and campus / department heads
- Facilitate and coordinate administration of payroll approval processes as directed by line manager
- Reporting & Documentation
- Compile monthly input register for input control purposes
- Report on Banking details changes for the month and ensure line manager receives the report for verification
- Ensure all relevant supporting documents for input/payroll processing are saved in the correct folders for easy access and compliance with Payroll guidelines
- Benefit Administration
- Ensure onboarding documents for medical aid/medical insurance are completed correctly by the employee and submitted for verification to the line manager
- On termination of employment/cancellation of benefits, facilitate offboarding from medical aid and medical insurance
- Ensure third party termination notices are completed on time
- Obtain line manager signature/approval for onboarding and offboarding of employees per benefits guidelines
- Coordinate death, disability, and ill health benefits with HR to ensure insurer administration requirements are completed
Minimum Requirements
Qualifications
- Matric / Grade 12
- Diploma in Administration / HR (Advantage)
- Certificate in Payroll Administration (Advantage)
Experience
- The ideal candidate will have 5 years’ experience in computerised payroll administration and in computerised HR administration
