Job Title: Packaging and Ingredients Stores Administrator

Job Description

The Stores Administrator provides accurate and efficient administrative support to the Packaging and Ingredients stores, working closely with the Stores Supervisor. This role involves collaborating with a cross-functional team, influencing and reasoning to ensure job requirements are met.

Minimum Requirements

  • Matric or Grade 12 or equivalent to N4
  • At least 2 years’ experience in a similar environment
  • Knowledge of stock control principles and tools
  • Proficiency in SAP system

Responsibilities

Data Management
  • Verify goods receipts against invoices daily, ensuring quantities and pricing match
  • Process short delivery claims by scanning delivery notes and requesting credits
  • Record and escalate variances in returnable items weekly
  • Collaborate to resolve blocked stock issues with relevant departments
  • Verify returned items from production and assist with monthly stock counts
  • Follow up on NCRs with suppliers
Audit Preparedness
  • Maintain up-to-date SHERQ documentation and machinery certifications
  • Track renewal dates and record inspections and maintenance
GMP Observations
  • Assist in store compliance checks, housekeeping, and personnel practices
  • Identify deviations from GMP standards and document findings
  • Raise maintenance job cards as needed
Document Control
  • Organize filing and records management systems
  • Analyze stock age reports and generate cycle count sheets
Teamwork & Self-Management
  • Take ownership of tasks, plan, prioritize, and communicate effectively
  • Assist during busy periods and support team objectives
KPIs
