Job description

We're seeking a professional Receptionist & Order Processing Coordinator. This dual-function role combines front-of-house reception duties with essential order processing and collection coordination. You'll be the first point of contact for visitors while managing critical paperwork for client orders and warehouse collections.

What You'll Do

Reception Duties (40%)

  • Welcome and assist all visitors, clients, and delivery personnel
  • Answer and direct phone calls professionally
  • Manage visitor sign-in / sign-out procedures and security protocols
  • Handle general inquiries and provide information
  • Maintain reception area presentation and office supplies
  • Coordinate meeting room bookings and visitor arrangements

Order Processing & Documentation (35%)

  • Process and file client order paperwork and documentation
  • Prepare collection documentation and delivery notes
  • Maintain accurate order tracking systems and databases
  • Coordinate with sales team on order status and requirements
  • Handle order amendments, cancellations, and special instructions
  • Ensure all paperwork compliance with company procedures

Collection Management (25%)

  • Manage client collection appointments and schedules
  • Coordinate with warehouse team for order preparation
  • Verify collection documentation and client authorization
  • Process collection paperwork and obtain required signatures
  • Update systems with collection status and completion
  • Handle collection queries and resolve documentation issues

What We're Looking For

Must-Haves :

  • 2-3 years reception or customer service experience
  • Strong administrative and filing skills
