Job description

The purpose of this job is to ensure the smooth running of the department through weekly evaluation and reporting to the Supervisor/Manager. This role ensures that stock received from suppliers is correct and in good condition, while providing excellent customer service to ensure customer satisfaction. The position involves overseeing all staff and department productivity to promote business growth, thereby increasing margins and profits.

Key Responsibilities
  1. Ensure daily attendance registers are completed, confirming all staff are on time.
  2. Supervise a team of subordinates and ensure all branch transfers/orders are completed within 48 hours.
  3. Verify that all subordinates complete their logsheet daily, recording transfer/order numbers and cross-checking with the back-order report.
  4. Complete all G2G requirements.
  5. Conduct daily huddles.
  6. Ensure staff G2G completed routines are submitted at month-end to your Supervisor/Manager.
  7. Perform regular floor walks to ensure daily housekeeping is maintained before the early shift ends.
  8. Prepare an efficient mini-SWOT report on a set date, covering:
  • Strength – Suggestions to improve department efficiencies and operations.
  • Weakness – Daily challenges, staff shortages, resource issues, etc.
  • Opportunities – Ideas for creating opportunities and implementing changes.
  • Threats – Concerns that could harm the department or branch, such as theft or health and safety issues.
  • Respond promptly to additional staff requirements or overtime needs, especially during peak times, and manage promotional stock or auto transfer orders.
  • Assist with quarterly staff evaluations by being present during assessments.
  • Arrange staff for random, annual, or bi-annual stock takes.
  • Requirements
    1. Matric or equivalent qualification.
    2. At least 2 years’ experience as a Clerk.
    3. Leadership training completed.
    4. Knowledge of internal stock systems.
    5. Ability to handle pressure.
    6. Adherence to Standard Operating Procedures.
    7. Effective communication skills (verbal & written).
    8. Strong planning, time management, and organizational skills.
