Job description

We are looking for an Operations Manager to join our WeBuyCars team at our PE branch.

Responsibilities

• Stock Control: implement and communicate a monthly stocktake roster, complete a full stocktake daily, investigate and report exceptions, and ensure exceptions are scanned at least every seven days. Exception reports must be signed off by the branch manager or the operations deputy manager and scanned into the Stock Take One drive folder daily. Report all problems and completion of stocktake to the Deputy Head of Sales by close of business daily.
• Key Stocktake: complete a key stocktake daily, investigate and report exceptions, obtain sign‑offs, and report progress to the Deputy Head of Sales by close of business daily.
• Manage Stock Levels: compare daily stock levels with branch capacity and national stock levels, report on vehicles older than 45 days weekly, troubleshoot aging stock, and recommend actions (e.g., price adjustments or reconditioning).
• Repairs And Non‑Runners: identify and manage recon on stock and non‑runners, manage daily turnaround times for repairs, obtain quotes approval from the Deputy Head of Sales, report progress to repair shops, and prepare weekly reports for repairs and non‑runners meetings.
• Natis And Admin Issues: manage and resolve all Natis/registration issues with the admin department and report admin issues in weekly meetings.
• Manage Sold Yard: complete daily sold yard audits, scan vehicles to check statuses, and ensure no vehicle remains in the sold yard longer than 48 hours.
• Website Photo Quality: ensure all vehicles appear on the website with pictures, train photographers, and conduct daily photo audits to maintain quality.
• Oversee Dekra Vehicle Condition Report Process: ensure a Dekra report is available on first day auction listings, check at least five vehicle inspections daily for accuracy, report discrepancies to the Dekra account manager, and rectify mistakes promptly.
• Cleaning and Maintenance: oversee daily warehouse cleaning tasks, execute cleaning schedules, and conduct regular walkthrough inspections in line with WeBuyCars guidelines.
• Wash Bay: assist the wash bay team leader in managing staff, inspect five randomly washed vehicles daily, resolve issues immediately, and discipline repeat offenders when needed.
• Health, Safety and Security: work with in‑house security and third‑party services, ensure adequate staffing, conduct daily safety audits, and report findings to the Deputy Head of Sales; conduct quarterly fire drills during business hours; maintain an up‑to‑date Health and Safety file.
• Expense Control: manage branch fuel expenses, implement effective fuel control, audit fuel accounts monthly, approve bulk fuel orders, and reconcile bulk orders against fuel slips before purchase; manage utilities and other branch expenses and report monthly with cost‑saving strategies.
