Job description

Responsible for planning, organising, and directing the activities of the Centre. Oversees leasing contracts, procures services, handles third-party service contracts, and directs maintenance procedures. Ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition. Develops and implements departmental policies and procedures, ensuring all operations comply with health and safety regulations. Ensures quality of purchased services aligns with procurement policies. Keeps Senior Management informed of activities and significant issues. Trains, directs, and appraises personnel. Ensures daily maintenance of online data and compliance with ISO procedures.

DUTIES

  1. Develops and implements effective operations management policies, procedures, and planning.
  2. Assists Senior Management in setting short and long-term goals, including budget projections.
  3. Ensures operational goals support corporate plans.
  4. Develops and reviews policies for Centre operations for maximum efficiency.

Manages Centre operations and facilities effectively.

  1. Coordinates third-party maintenance, vendors, and suppliers, liaising with contractors daily.
  2. Addresses operational problems with tenants.
  3. Responds to emergencies.
  4. Oversees daily operations such as security, air conditioning, cleaning, electrical, plumbing, etc.
  5. Authorizes invoices and manages operational costs and recoveries.
  6. Manages space planning and facility layout to meet operational needs.
  7. Conducts inspections, assesses issues, and implements improvements.
  8. Coordinates maintenance and ensures facilities are well maintained and compliant with regulations.

Handles security of all Centre facilities.

  1. Inspects security systems and implements improvements.
  2. Develops security action plans and maintains security systems.
  3. Monitors operations, liaises with authorities, manages security personnel, and develops security awareness programs.

Ensures cost-effective administration of Centre operations.

  1. Develops safety directives and trains staff in health and safety.
  2. Prepares financial forecasts and manages budgets.
  3. Ensures legal and OSHA compliance, conducts inspections, and maintains safety reports.
  4. Oversees procurement of furnishings and equipment, ensuring quality and timely delivery.
  5. Maintains current maintenance agreements and resolves billing issues.

Maintains professional relations with vendors and external contacts.

  1. Develops and sustains productive vendor relationships.
  2. Acts as liaison, promotes goodwill, and manages external services.

Leads personnel management efforts.

  1. Sets objectives, delegates, communicates, and conducts meetings.
  2. Implements training and provides performance feedback.
  3. Handles staffing, hiring, and corrective actions.

Performs related duties as required, including maintaining a clean and secure work environment, completing special projects, and reporting on expenses and incidents.

Requirements

  • Matric.
  • Additional training in maintenance and Centre management preferred.
  • Understanding of property management procedures.
  • Knowledge of budgeting, service contracts, and leasing.
  • Minimum five years of related experience, including two years supervisory.
  • Leadership skills and ability to coordinate teams.
  • Good communication skills and proficiency with maintenance equipment and computer applications.
