- Budgeting and Expense Control
- Input on annual expense budget
- Input on monthly, quarterly forecasts
- Variance reporting on actuals to budget and forecast
- Monthly input on expense control and cash flow requirements
- Manage & create purchase orders on system
- Maintain stock register
- Assist in cost-effective management of all soft services
Building Management and Administration
- Manage and execute emergency and day-to-day maintenance items
- Manage all soft services like cleaning, security, landscaping, and related services
- Ensure monthly meetings are held with supporting minutes; manage SLAs and implement penalties where necessary
- Conduct housekeeping inspections as per the inspection program
- Perform OHS Act inspections
- Conduct reinstatement inspections
- Inspect vacant premises
- Maintain building inventory
- Monitor adherence to house rules and report transgressions to the Portfolio Manager for discussion with tenants
- Maintain Key Control register
- Issue parking access permits and conduct regular audits of access permits
- Oversee energy management (including meter readings) and municipal accounts (including electrical recoveries)
- Attend to logged tenant queries and calls related to housekeeping
- Identify operational risks and implement corrective measures
- Implement emergency plans and conduct evacuation drills
- Ensure statutory requirements are met and monitored
- Report and process onsite incidents for potential liability and property damage claims
- Coordinate and chair OHS Act meetings
Tenant Installations, Revamps, Upgrades, and Planned Preventative Maintenance Projects
- Act as on-site project manager
- Manage tenant installations and smaller projects, including specifications
- Oversee project management of revamps and upgrades in collaboration with Technical and General Managers
People Management
- Performance management
- Training and development of staff (where applicable)
Qualifications and Experience
- Minimum of 5 years’ experience as an Operations Manager
- Project management experience
- Knowledge of building services, especially maintenance of building systems within large organizations
- Mechanical and plumbing knowledge
- Understanding of facilities management principles
- Knowledge of health and safety management
- Relevant tertiary qualification (preferable)
