The Operations Coordinator plays a pivotal role in ensuring the smooth functioning of internal operations, systems, and documentation processes that enable our team to focus on project delivery and strategic growth. Reporting to the CEO and working closely with the Director of Programmes, the Operations Coordinator will be responsible for logistics, contract administration, scheduling, documentation, financial processes, compliance, and internal communications. The role also includes providing personal assistance (PA) support to the CEO and Founder, managing their calendar, travel, and key communications. This is a detail-oriented role suited to someone who thrives in systems thinking and values contributing to impactful education reform work.

Responsibilities

  • Manage scheduling, meeting logistics, and team calendar management
  • Oversee contract administration and maintain accurate contract trackers
  • Liaise with legal and financial support functions to ensure smooth operations
  • Implement and manage document templates, information management systems and Knowledge Hub resources
  • Track FTE allocations, support project resourcing, and prepare monthly reports
  • Support financial administration, tax documentation, and compliance with relevant policies
  • Ensure effective internal communications and support team processes (including onboarding) as needed
  • Contribute to organisational improvements and process optimization
  • Provide Executive PA support to the CEO and Director, including calendar management, travel arrangements, and key communications

Skills and experience

  • 3–5+ years in operations, PA, administration, or project coordination roles
  • Proven experience managing systems, documentation, and supporting executives
  • Strong organisational skills and attention to detail
  • Excellent communication skills, both written and verbal
  • Proficiency with Microsoft 365 and Excel.
  • Proficiency with Monday.com is advantageous
  • Previous experience in consulting, non-profit, or education sectors is advantageous
