Job Description

We are recruiting on behalf of our client in the SaaS business. They require a highly organized and proactive Operations Coordinator to provide critical administrative and operational support. This role spans travel and event coordination, procurement, billing support, project administration, light HR admin, internal communications, and organizational surveys. You’ll work closely with various teams to ensure business operations run smoothly and efficiently.

Key Responsibilities:

  • Support the MANCO team with day-to-day operational or administrative tasks.
  • Assist in the coordination of company events such as team days, off-sites, and other internal activities.
  • Coordinate travel bookings including flights, accommodation, visas, and support bookings for events, team meetings, and venues.
  • Assist with the coordination of vendor quotes, purchase orders (POs), and deliveries in line with company processes.
  • Assist with internal and external billing queries, invoice tracking, PO matching, and follow-ups on outstanding payments. Maintain accurate records using Zoho Books.
  • Support vendors and partners with task and project delivery, maintain project documentation, and assist with updating knowledge management records.
  • Assist with the distribution and tracking of internal and external surveys, including NPS and employee feedback, and compile responses for stakeholders.
  • Help coordinate virtual and in-person events, including venue bookings and managing service providers.
  • Assist with onboarding logistics for new hires, maintain HR documentation, and support HR initiatives and audits.

Requirements:

  • Minimum 1-2 years in an administrative, coordination, or operations support role.
  • Grade 12 is essential.
  • A diploma or certificate in Business Administration, Project Management, or HR is advantageous.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and other cloud applications.
  • Familiarity with Zoho Books is preferred.
  • High attention to detail, ability to work independently, discretion, and professionalism.
