Job description

Our client is a renowned Investment Service Porvider who facilitates individual client investments in direct share portfolios on the JSE and Global stock exchanges. Their services in this regard include a wide range of model- tracking and bespoke managed share portfolios as well as the implementation of execution only portfolios (non-managed).

In conjunction with third party service providers, broader business units and the Trading Desk, the Operations division is responsible for the processes to implement these share portfolios effectively. Operational Assistants take responsibility for a wide variety of processes and ad hoc tasks related to implementation and maintenance of the private share portfolios.

QUALIFICATION SKILLS AND CHARACTERISITCS REQUIRED

  • National Senior Certificate with relevant subjects and above average
  • Undergraduate degree - Bcomm or relevant qualification with a minimum of three years' experience in an operational environment in the financial services industry.
  • Good knowledge of financial markets and instruments.
  • Process driven and analytical.
  • High level of attention to detail.
  • Ability to problem solve and recommend solutions.
  • Excellent time management and commitment to SLA's.
  • Good planning and organisational skills.
  • Ability to learn quickly.
  • Excellent communication skills, both oral and written.
  • The ability to perform in a demanding team and able to work under pressure.
  • Ability to work effectively as an individual and part of a team.

COMPETENCY REQUIREMENTS

  • Excellent knowledge of the Microsoft Office suite, with exceptional Excel skills.
  • Working knowledge of portfolio management systems, trading systems and workflow systems would be beneficial.
  • Perform duties with responsibility, due care and diligence.
  • Perform multi-functional duties, be proactive and innovative.

STRATEGIC BUSINESS DELIVERABLES

  • Open new investment accounts at various third party Confirm that the client's details has been recorded correctly.
  • Ensure timely and correct investment of and disinvestment from share portfolios. Check that the Trading Desk as per instruction has placed trades correctly.
  • Ensure valid base costs are recorded on share transfers in and rolled over where applicable.
  • Manage the client details on the portfolio management system
  • Capture and maintain client details.
  • Link each portfolio/account on the portfolio management system to a system client number.
  • Ensure the client's preference regarding dividend payout or reinvestment is set up correctly.
  • Ensure the client's communication preferences regarding broker notes and statements are set up correctly.
  • Ensure all restrictions regarding the trading of shares (e.g. for directors, employees, etc.) are captured (loaded on each portfolio not per client).
  • Ensure quality of data through periodic clean-up projects.
  • Generate a username and password and link the client on the website.
  • Monitor and manage the workflow system and ensure each instruction is executed within a specific timeframe.
  • Address queries from Advisors and or Advisory Assistants
  • Account for client loans against share portfolios.
  • Liaise externally with third party service providers.
  • Liaise internally with members of the Trading Desks and fellow operational teams.
  • Perform various ad hoc projects and tasks related to private client security portfolios.
