Job description

The position is responsible for coordinating the strategic support of all CETA projects. It involves managing and reviewing project performance, providing support as needed, advising on policy development, leading the development of integrated information management systems, and supporting the Client Services & Projects division.

Job Responsibilities :

  • Assist in implementing the tactical plan by coordinating operational activities and ensuring alignment with operational targets within the Provincial Office.
  • Ensure successful implementation of learning programmes within the region, including preparation, monitoring, and closure.
  • Coordinate and conduct monitoring site visits on all projects, providing reports and lessons learned.
  • Review project implementation plans for compliance with budget and timelines.
  • Complete monthly regional project reports and provide feedback to the manager.
  • Contribute to establishing, maintaining, and improving SOPs, policies, and guidelines related to the Provincial Office, in consultation with the Senior Manager: Client Services and Projects.
  • Assist in monitoring, evaluating, and reporting on the progress of the Provincial Office’s achievements against strategic objectives.
  • Support the overall functioning of the Provincial Office to ensure alignment with CETA’s strategic objectives and client satisfaction.
  • Contribute to business presentations in collaboration with the provincial team.
  • Oversee administrative duties such as handling calls, correspondence, and emails in the Provincial Office.
  • Work with the Head of Client Services and Projects to prioritize issues and opportunities within the province.
  • Implement CETA special projects as required.
  • Convene and attend stakeholder meetings to ensure follow-up and execution of actions.

General responsibilities :

  • Identify and adhere to fraud controls, risk prevention, governance, and compliance processes.
  • Attend relevant meetings, trainings, and workshops on risk, compliance, ethics, and fraud prevention.
  • Ensure regional projects are well-coordinated, managed efficiently, and completed on schedule and within budget.
  • Manage project scope changes, potential crises, and contingency plans proactively.
  • Compile and submit all relevant CETA registers and reports.
  • Maintain and enforce Service Level Agreements to minimize risks and ensure business continuity.
  • Review SOPs to optimize business processes.
  • Adhere to all applicable laws, policies, and procedures.
  • Supervise and mentor team members, including interns, and support their performance development.

Specific Deliverables :

  • Conduct project site visits and compile reports with lessons learned.
  • Advocate on matters related to discretionary grants and special projects.
  • Represent CETA at regional activities such as exhibitions and workshops.
  • Present findings and business cases at meetings.
  • Communicate progress and challenges to stakeholders timely.
  • Participate in industry forums, conferences, and workshops for business improvement insights.
  • Conduct workshops to capacitate stakeholders on project implementation.
  • Support SMMEs, NGOs, cooperatives, and trade unions.
