Introduction
Applications are invited for the position of Office Manager Western Cape and Eastern Cape Region (Peromnes Grade 9) based at Cape Town.
The successful applicant will report to the Head of Operations: Western Cape and Eastern Cape Region.
Key Responsibilities
- Office Management & Administration: Provide effective managerial support; Manage the smooth running of the office; Ensure accurate record keeping; Capture data and maintain confidentiality; Manage staff training requests; Process staff licenses and medicals; Draft letters and other communication; Oversee stationery and refreshments; Ensure timely capturing of monthly overtime; Compile and monitor departmental budget; Establish an effective document management system; Ensure efficient use of technology; Respond to e-mails and queries on behalf of the Head; Facilitate audit processes.
- Secretarial Services: Plan and maintain the Head's schedule; Coordinate travel and accommodation; Ensure timely arrangement of meetings; Distribute meeting documentation; Arrange for minutes to be taken; Process mail and courier packages.
- Procurement and Finance Management: Ensure submission of procurement requisitions; Follow up with suppliers; Ensure timely payments; Assist with monthly statements.
- Quality Management: Manage implementation of ISO procedures; Facilitate review of QMS procedures; Publish QMS documents; Monitor Continuous Improvement Reports.
- Stakeholder Relations Management: Develop relationships with stakeholders; Liaise with suppliers and clients; Maintain communication channels.
- People Management: Manage employees in accordance with HC policies; On-board new employees; Monitor attendance; Participate in performance management; Coach employees.
Minimum Formal Qualifications: B-degree will be an advantage.
Minimum Years of Experience: At least 5 years office administration experience or equivalent; Knowledge of business priorities and challenges.
