Job description

The South African National Biodiversity Institute (SANBI) is seeking to appoint an enthusiastic, highly motivated, dedicated, professional, self-starting, and responsible individual to manage and provide high-level administrative, logistical, and secretarial services to the office of the Chief Executive Officer.

Qualifications and Experience
  • A degree in Office Administration / Management / Public Administration or equivalent at NQF level 7.
  • Postgraduate qualification at NQF level 8 or equivalent (advantageous).
  • Minimum of 6 years relevant work experience.
Key Competencies
  • Attention to detail and excellent business writing skills.
  • Comprehensive knowledge of office administration/management principles and practices at a high level.
  • Extensive experience with legislation, procedures, processes, and systems related to office management.
  • Advanced knowledge of policies, practices, systems, and Standard Operating Procedures.
  • Advanced planning, organizing, and problem-solving skills.
  • Ability to work under pressure while maintaining quality, cost-effectiveness, and safety consciousness.
  • Excellent verbal and written communication skills.
  • Proven ability to handle confidential matters.
  • Sound interpersonal relations and a self-starter attitude.
  • Experience working with diverse internal and external stakeholders.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook) and internet applications.
Additional Requirements
  • Valid driver’s license and willingness to travel.
Key Responsibilities
  1. Manage the budget and finances of the CEO’s office, including expenditure tracking.
  2. Manage the CEO’s diary and provide logistical and secretarial support.
  3. Support procurement and compliance activities.
  4. Manage the document system for the CEO’s office.
  5. Arrange travel and accommodation for the CEO nationally and internationally.
  6. Handle incoming correspondence and communication with stakeholders.
  7. Provide other office management support services.
