Your role

We are seeking a proactive and highly organized Office Assistant to support our team with a wide range of administrative and operational tasks.

This full-time role encompasses finance reporting, office administration, procurement, event management, HR, and travel coordination.

As an all-rounder, you will play a key role in ensuring smooth office operations and supporting our sustainability-focused mission, reporting directly to our Operations Manager.

Your tasks

  1. Oversee daily office operations and manage reception duties
  2. Maintain office supplies and ensure efficient procurement processes
  3. Ensure office activities and other events run smoothly and within budget
  4. Handle correspondence, filing, and document management
  5. Coordinate with vendors and suppliers and assist with procurement processes
  6. Maintain accurate records of purchases and inventory
  7. Incoming invoice verification and prepare for the approval process
  8. Prepare outgoing invoices and manage receivables
  9. Prepare export documentation and coordinate logistics for local and international shipments
  10. Review, manage, and post expense and credit card statements
  11. Assist in planning and organizing of company events, meetings, and marketing initiatives
  12. Support HR initiatives and employee engagement initiatives
  13. Arrange travel itineraries, accommodations, and transportation
  14. Assist with visa applications and travel documentation

Your profile

  1. Proven experience as an Assistant, Receptionist, or Office Assistant
  2. Strong knowledge of finance, office administration, and procurement processes
  3. Excellent organizational and multitasking skills
  4. Strong problem-solving skills and ability to work independently
  5. Effective communication and interpersonal skills
  6. Task-oriented, team player, and people-focused
  7. Honest, proactive, and positive nature with a strong work ethic
  8. High level of discretion and confidentiality
  9. Reside within easy commuting distance to the Samrand (Centurion) area
  10. Proficiency in English
  11. Knowledge of XERO is advantageous
