If you're excited by the idea of keeping a fast-paced office running smoothly while occasionally managing event logistics, this opportunity is for you!

Our client, a vibrant and growing company in the events and services industry based in Pretoria, is seeking a dynamic Office Administrator to join their team.This role blends classic admin support with hands-on involvement in small-scale events — perfect for someone who thrives on variety and enjoys being at the centre of the action.

Key Responsibilities:

  • Handle general office administration, including diary management, answering phones, and acting as front-of-house when needed
  • Generate invoices, send statements, follow up on payments, and liaise with accountants for monthly reporting
  • Calculate weekly staff wages and submit to accountants
  • Maintain and track office expenses, policies, and administrative systems
  • Support the Managing Director with scheduling and operational tasks
  • Source quotes and suppliers for upcoming events and assist in budgeting and logistics
  • Draft quotations and manage event costings where required
  • Coordinate daily logistics for event staff and crew
  • Support in pre-event planning, on-site coordination, and post-event communication (thank-you emails, feedback collection, reporting)
  • Ensure all event-related data and documentation is securely stored and easily accessible
  • Willingness to travel to events and be on-site when necessary
Minimum Requirements:
  • Previous experience in administration (event coordination experience advantageous)
  • Strong organisational and time-management skills
  • Excellent written and verbal communication abilities
  • Tech-savvy and confident using spreadsheets, email, and invoicing systems
  • Able to work independently and take initiative
  • A natural problem-solver with a customer-first attitude
  • Own transport is essential
  • Must be willing to travel and stay overnight for events when required
