About the Role
The Office Administrator is responsible for ensuring prompt and efficient administration duties, overseeing day-to-day operations in the Management office, and supporting all related departments.
Responsibilities
- Support the Vice President and manage daily tasks.
- Handle sensitive information and maintain confidentiality.
- Assist with financial, procurement, asset control, and equipment maintenance.
- Resolve operational queries, complaints, and claims.
- Ensure timely supply of office and cleaning materials and manage stock.
- Order office furniture and equipment, verify deliveries, and resolve customer issues.
- Manage parking/visitor permits and assist HR as needed.
- Handle invoice queries and ensure timely delivery of supporting documents.
- Track fuel consumption and maintain stock records.
- Oversee fuel distribution permits and asset register.
- Prepare correspondence, manage the Management Boardroom’s diary, and assist with meetings.
- Reconcile Senior Managers’ credit card expenses and oversee office maintenance.
- Supervise company vehicle usage, ensure regular servicing, and handle fleet registrations.
- Manage daily banking, postage, petty cash, and assist with hotel accommodations for delayed passengers.
Requirements
Experience, Qualifications and Key Skills
- Grade 12
- Secretarial or relevant qualification
- Proficiency in MS Office
- Strong organizational, communication, and time management skills
- Ability to multitask and work independently under pressure
- Confidentiality, flexibility, and a good sense of humor
- Valid driver’s license and own transport
