Job description

Up to £12.09 per hour + Holiday and Pension

Responsibilities:

  1. Be the first point of contact for the Probation Service, greeting people on probation and visitors professionally, both face-to-face and via telephone and email.
  2. Log arrivals and departures, notify the appropriate staff, and issue visitor passes and security fobs as necessary.
  3. Use tact and diplomacy to diffuse potentially violent situations and recognize where additional support is required, whether from internal management or external security / policing.
  4. Be alert to conversations indicating a safeguarding / risk issue and take appropriate action, such as emailing the Probation Practitioner and updating Delius.
  5. Answer all enquiries at Reception related to basic information about the Probation Service and local Person on Probation support services, referring more technical enquiries to an appropriate manager.
  6. Manage all logistics for the building, including handling mail items, ordering PPE and office stationery, managing room and car parking bookings, and supporting meeting rooms, including event preparation and registration.
  7. Pay bus fares / travel warrants to people on probation and handle day-to-day petty cash, including collection and transport between Probation properties.
  8. Assist in maintaining health and safety and security aspects of the building, acting as key holder, operating physical security, testing fire and panic alarms, monitoring CCTV, and assisting with evacuation measures.
  9. Act as Fire Warden / First Aider and support risk assessments where trained.
  10. Log building faults and incidents, keep maintenance and repair logs, escalate issues through appropriate channels, and make decisions on the urgency of faults to maintain building security.
  11. Support case administration for Persons on Probation by providing high-level administrative support, including processing files, using computer software, producing documentation, accessing databases, and archiving sensitive data.
