The incumbent will be appointed on a permanent basis. The position is based in Braamfontein.

POSITION PURPOSE

To provide administrative support to the Board Secretariat Department in accordance with Legal Aid SA policies, procedures, and standards.

KEY OUTPUTS
  1. Efficiently and accurately maintaining the record-keeping and filing system as per standard operating procedures.
  2. Assist and provide administrative support to the Board Secretariat Department.
  3. Creating requisitions / purchase orders and processing payments of suppliers and Board members.
  4. Coordinate and distribute reports and other documentation in support of the Board Secretariat Department.
  5. Ensure that physical assets are reconciled to each individual office list on a monthly basis.
  6. Maintain registers, including mail, register of interests, website, schedule of SOPs/Policies, Board Certificates-Resolutions, Board email register, etc.
  7. Facilitate Board logistics, including travel arrangements, catering, transfers, accommodation, attendance registers, etc., during Committee and Board meetings.
  8. Arrange meetings as required (Board Meeting Schedule).
  9. Ensure compliance with relevant risk policies and procedures.
  10. Assist and provide support during Committee / Board meetings.
  11. Maintain the webpage for the Business Plan.
  12. Maintain Board member files.
  13. Asset verification.
PENETRATIONS (SKILLS, KNOWLEDGE, AND ATTRIBUTES) REQUIRED
  • A recognised Grade 12 (Std 10) certificate.
  • A minimum of 12 months' relevant administrative experience.
  • Understanding and application of basic computer software packages.
  • Good written and verbal communication skills.
  • A detailed curriculum vitae reflecting practical application of the position outputs and the required competencies as advertised.
