Mission Description

Job PurposeEnsuring that indent / new order is sent to our origin office for sea imports cargo relating to Sea, Air, and Road.

Updating clients on a daily basis or when the client requires it.

Ensuring that shipments are cleared, and procedures are correctly followed.

Ensuring that our destination offices receive pre-alerts timeously for all exports.

Ensuring profitability of all files.

Retaining and growing clients through the delivery of excellent service.

Job Function

Handle Multi Modal / Exports / Imports Shipments according to client requirements.

Receive new order bookings from sales representatives or customers.

Open a file immediately, print all correspondence, and keep it in the file.

Contact the shipper in the origin country to arrange shipment.

Provide our office with necessary information such as booking confirmation, contract number, and contact details.

Update clients daily on shipment progress using the prescribed Status Report format.

Prepare documents for arrival once the vessel sails, in line with procedures from the booking office.

Profile

Invoicing promptly to ensure complete documentation delivery with shipments.

Daily pre-alerts / status reports to customers.

Meet all Customs regulations and ensure prompt return of documents.

Ensure PODs are returned by the haulier and / or destination office.

Request ANFS / SOBS from lines and register files.

Prepare SADC Certificates as required.

Follow up on accurate documentation and clearing instructions.

Request invoices from service providers to compile complete documentation.

Invoice files within 24 hours of delivery.

Arrange local and long-distance transport for deliveries.

Inform clients of cost amendments from estimates.

Operate within the budget and highlight discrepancies.

Handover documents to Customs for entry framing.

Invoice clients as per agreement and within credit terms.

Dispatch invoices regularly according to procedures.

Ensure supplier invoices align with proposed costs.

Build strong operational relationships with clients for business growth.

Perform other delegated tasks as assigned.

Minimum Education and Experience Requirements

Matric

5 - 10 years' experience in Sea / Air / Road Freight Imports and Exports.

Proficient in MS Office Suite, especially Excel.

Proactive and Tenacious.
