Job description

Our client based in Edenvale, Gauteng is looking for a Mid-Level Conveyancing Secretary to join their property law department.

The successful candidate will be responsible for managing a wide range of conveyancing transactions, with a focus on residential and / or commercial property transfers. This role requires a sound understanding of the conveyancing process, the ability to manage files independently, and a strong client service ethic.

Minimum Requirements :

  • Matric
  • Formal secretarial or legal qualification advantageous.
  • Minimum 35 years experience in a conveyancing secretary role.
  • Drivers license and reliable car (inherent requirement as the candidate may need to travel).
  • Proficient in LexisConvey and GhostConvey.
  • Knowledge of Deeds Office processes and e-lodgement systems.
  • Experience with major bank bond registration processes is an advantage.
  • Strong knowledge of conveyancing procedures, documents, and applicable legislation (e.g., Deeds Registries Act, Sectional Titles Act, and Transfer Duty Act).

Key Responsibilities :

  • Independently manage and process conveyancing matters from inception to finalisation.
  • Draft and prepare legal documents including sale agreements, transfer documents, bond documents, and consents.
  • Liaise with clients, banks, municipalities, estate agents, Deeds Office, SARS, and other relevant institutions.
  • Open and manage conveyancing files and ensure all documents are compliant with regulatory and firm standards.
  • Prepare and lodge documents with the Deeds Office and follow up on progress.
  • Attend to bond cancellations, registrations, and property transfers (sectional title and freehold).
  • Perform conveyancing searches, rates clearances, and transfer duty applications.
  • Reconcile trust accounts and ensure all financial aspects of the transfer are handled accurately.
  • Attend to local municipal councils and relevant authorities to obtain, follow up on, and resolve issues relating to rates clearance certificates, including addressing discrepancies, reconciling accounts, and ensuring timely issuance of clearance figures and certificates necessary for property transfers.
  • Maintain accurate records and update internal systems as required.
