Job description

In this role, you will form part of the Mass Foundation Cluster which is one of the largest customer-facing business segments in Old Mutual. This role performs secretarial duties for an executive or senior employee. The incumbent is individually accountable for achieving results through their own efforts.

You will ensure the smooth running of the business by providing effective administrative assistance to the Regional Manager and team.

Key Responsibilities:

  1. Proactively manage, coordinate, and maintain the diary of the line manager.
  2. Coordinate all aspects of meetings, workshops, and functions (venue logistics, catering) according to the manager’s requirements, and within budget parameters.
  3. Provide administrative support for meetings and workshops (collate, compile, and distribute agendas, presentations, and minutes within agreed timeframes).
  4. Prepare sales reports on a daily/weekly basis.
  5. Arrange and manage travel arrangements for the manager, according to the agreed business process and budget parameters.
  6. Manage incoming calls and correspondence (paper and electronic), responding independently where possible and in line with authorized judgment.
  7. Order and control refreshments, office supplies, and equipment, ensuring enough stock is always available, in line with budget parameters.
  8. Ensure files (paper and electronic) are kept in order and easily accessible by the manager.
  9. Prepare and check invoices and arrange for payments to ensure adherence to requirements and Service Level Agreements.
  10. Ensure office equipment is regularly maintained by relevant service providers.
  11. Monitor and respond to incoming communication on behalf of the line manager, where appropriate, ensuring efficiency and timely response.

Requirements:

  1. 3-5 years of relevant experience
  2. Oracle Financials knowledge and experience required
  3. Experience in supporting managers and teams
  4. Excellent written and verbal communication skills
