Leadership and Team Management
  • Provide strong leadership, ensuring staff adherence to policies, procedures, and best practices.
  • Manage, mentor, and support the team while maintaining professional boundaries and reinforcing ethical standards.
  • Promote a professional, cohesive, and efficient work environment.
  • Encourage a culture of accountability and continuous improvement.
  • Oversee leave management.
Operational Management
  • Oversee daily practice operations, ensuring efficiency in patient flow and service delivery.
  • Enforce policies on scheduling, record-keeping, and patient confidentiality.
  • Ensure compliance with healthcare regulations and legal requirements.
  • Identify operational improvements and implement solutions proactively.
  • Manage budgets, financial reporting, and expenses.
  • Oversee billing, medical aid claims, and debt collection.
  • Maintain medical records and adhere to data protection laws.
  • Develop and monitor KPIs to enhance efficiency and profitability.
Patient Experience & Service Quality
  • Maintain high patient satisfaction through feedback and service improvements.
  • Handle complaints professionally and ensure timely resolution.
  • Deliver compassionate, high-quality care to all patients.
IT & Systems Management
  • Oversee medical practice management software and electronic health records systems.
  • Train staff in technology use to streamline processes.
  • Implement digital solutions to improve operational efficiency.
Additional Responsibilities
  • Manage month-end financial processes and reporting.
  • Coordinate with contractors, IT specialists, and suppliers.
  • Ensure cleanliness and maintenance of the practice environment.
  • Assist in marketing and professional networking.
Reception and Administrative Duties
  • Manage communication logs and patient feedback.
  • Schedule appointments and communicate billing policies.
  • Update patient records and facilitate referrals and hospitalizations.
Accounts and Financial Oversight
  • Supervise debt collection and admin processes.
  • Follow up on outstanding payments.
  • Manage petty cash and cash payments.
General Responsibilities
  • Supervise hygiene personnel and maintain a tidy environment.
  • Handle administrative tasks like filing and copying.
  • Oversee medical supplies procurement.
Qualifications and Skills
  • Grade 12, Certificate in Office Administration or similar.
  • Experience in medical reception and practice management.
  • Ability to multitask and work under pressure.
  • Strong organizational and IT skills, especially in medical management software.
  • Excellent communication skills in English and Afrikaans.
  • Own transport and driver's license.
  • Professional appearance and demeanor.
