Our client is looking for a Practice Manager to oversee the day-to-day operations of their busy practice.

Job Specification

  1. Leadership & Team Management
  • Provide strong leadership, ensuring staff adherence to policies, procedures, and best practices.
  • Manage, mentor, and support the team while maintaining professional boundaries and reinforcing ethical standards.
  • Promote a professional, cohesive, and efficient work environment.
  • Encourage a culture of accountability and continuous improvement.
  • Operational Management
    • Oversee daily practice operations, ensuring efficiency in patient flow and service delivery.
    • Enforce policies related to scheduling, record-keeping, and patient confidentiality.
    • Ensure compliance with healthcare regulations and legal requirements.
    • Identify operational improvement areas and implement solutions proactively.
  • Administrative & Financial Oversight
    • Manage practice budgets, financial reporting, and expenses.
    • Oversee billing, medical aid claims, and debt collection processes.
    • Ensure proper maintenance of medical records and data protection compliance.
    • Develop and monitor KPIs to improve efficiency and profitability.
  • Patient Experience & Service Quality
    • Maintain high patient satisfaction through feedback and service improvements.
    • Handle patient complaints professionally and ensure timely resolutions.
    • Ensure compassionate, high-quality patient care.
  • IT & Systems Management
    • Oversee medical management software and electronic health records.
    • Train staff in technology use to streamline processes.
    • Implement digital solutions to boost operational efficiency.
  • Other Duties
    • Manage month-end financial processes.
    • Liaise with contractors, IT specialists, and suppliers.
    • Maintain practice environment cleanliness and safety.
    • Assist with marketing and professional networking.

    Reception & Accounts

    • Maintain message logs and handle patient feedback.
    • Manage appointment scheduling and update patient details.
    • Coordinate with doctors for notes and referrals.
    • Oversee hospital admission procedures.
    • Manage debt collection, follow-up on outstanding payments, and handle cash receipts.

    General & Supplies

    • Supervise hygiene personnel for cleanliness.
    • Handle administrative tasks like scanning and copying.
    • Order medical supplies.

    Minimum Requirements

    • Grade 12, Certificate in Office Administration or similar.
    • Experience in medical reception and practice management.
    • Ability to multitask and work under pressure.
    • Strong organizational and IT skills.
    • Excellent communication skills in English and Afrikaans.
    • Own transport and driver's license.
    • Professional appearance and clear background checks.
