Media Payables Executive
Aim of this position:
To accurately and efficiently match and process media supplier invoices to billed client invoices, using detailed client insertion information. To create and manage reconciliations between supplier statements and payments, effectively communicating details of differences to suppliers and working with planners, buyers and client leads to resolve queries timeously. To maintain a high standard of work as well as ICFR compliance.
• Media creditors matching and posting Ensure all supplier invoices and statements are received timeously
• Match insertions to invoiced amounts
• Liase with media department to identify correct media insertions
• Post all matched insertions with supplier invoices to Navision
• Attach all supporting documents to processed invoice in Navision
• Ensure compliance with SARS legislation ie. valid tax invoice with correct vat information included
• Media creditors reconciliations and payments Create and manage supplier reconciliations
• Ensure that payment amounts are reconciled to statement amounts
• Ensure that supplier statements are reconciled to Navision balance
• Ensure that supplier payment terms are met each month
• Manage agency commission and other deductions from payments where applicable
• Explain reconciling items in appropriate detail showing date, insertion, client name, campaign & detailed information regarding query
• Liase with media department to resolve queried amounts
• Obtain CI’s, IO’s and/or contracts to backup queried amounts
• Submit recons and documentation for sign off timeously
• Post supplier payments to Navision
• Liase with suppliers re: remittances and payment allocations
• Managing and resolving media creditors queries Build relationships with key supplier contacts
• Liase with media department to help resolve queries
• Liase with suppliers to resolve queries
• Update query tracker in order to track query resolution
• Report unresolved queries to the Financial Manager Operations
• Obtain and process credit notes or refunds from suppliers for queries
• Audit and compliance Assist with client, external and internal audit as required
• Assist with BBBEE audits as required
• Maintain high standard of work and ICFR compliance at all times
