Operations Manager - Warehouse Management

Department: Warehouse Operations

Position Summary: The Operations Manager for Warehouse Management plays a crucial role in overseeing and optimizing warehouse operations to ensure efficiency, safety, and compliance.

This role is responsible for managing day-to-day operations, including inventory control, staff supervision, picking, inbound and outbound, safety compliance, and continuous process improvement.

The Operations Manager will lead a team, coordinate with cross-functional departments, and implement strategies to enhance operational efficiency, reduce costs, and maintain high service levels within the supply chain. As part of the onboarding process, the selected candidate will undergo a 3-month attachment program (could be more or less dependent on experience).

This structured plan will provide the candidate with comprehensive exposure to all areas of warehouse operations, including picking, inbound & outbound, inventory management, and safety compliance. After successful completion of this attachment period, the candidate will transition to a specific department within warehouse operations based on their strengths, interests, and business needs.

Key Responsibilities:
  1. Warehouse Operations Management: Oversee daily warehouse operations, including receiving, picking, inbound & outbound, and storage. Ensure smooth coordination of inbound and outbound logistics, managing delivery schedules, and inventory accuracy. Monitor workflow, space utilization, and the effective use of warehouse equipment and technology. Implement best practices in warehouse management to streamline processes and improve operational efficiency.
  2. Inventory Control & Management: Oversee inventory levels to ensure optimal stock levels while minimizing excess inventory. Implement inventory management systems to monitor stock levels, track movement, and ensure accuracy. Conduct regular inventory audits and cycle counts to identify and resolve discrepancies. Ensure timely and accurate order fulfillment, reducing backorders and delivery delays.
  3. Staff Supervision & Development: Lead and manage warehouse staff, including training, scheduling, and performance evaluation. Develop leadership skills within the team by fostering a positive and productive work environment. Manage employee relations, including discipline, coaching, and conflict resolution. Chair and manage disciplinary hearings and issue warnings when necessary. Drive team motivation and productivity, ensuring alignment with organizational goals.
  4. Safety & Compliance: Ensure adherence to all safety protocols, warehouse policies, and relevant regulatory requirements (e.g., OSHA). Conduct regular safety audits, identify potential risks, and implement corrective actions promptly. Organize safety training for warehouse staff and maintain compliance with health and safety regulations. Monitor equipment and warehouse conditions to ensure a safe and clean working environment.
  5. Process Improvement & Operational Efficiency: Analyze warehouse operations and identify areas for improvement in workflow, layout, and equipment utilization. Lead continuous improvement initiatives to enhance operational processes, reduce waste, and increase productivity. Collaborate with cross-functional teams, including procurement, logistics, and customer service, to streamline operations. Manage warehouse systems and technologies, such as Warehouse Management Software (WMS), to optimize performance.
  6. Reporting & Documentation: Prepare and maintain accurate reports on warehouse performance, including KPIs, inventory levels, and operational efficiency metrics. Ensure all operational documentation is complete, accurate, and compliant with company policies and regulations. Use WMS and other relevant technologies to monitor and report on warehouse performance.
  7. Logistics Coordination: Manage relationships with suppliers, carriers, and third-party logistics providers to ensure timely and cost-effective deliveries. Coordinate inbound logistics, including receiving and unloading goods, verifying shipments, and handling returns. Oversee outbound logistics, ensuring timely dispatch, accurate order fulfillment, and proper documentation.
  8. 3-Month Attachment Program: During the initial 3-month period (Could be more or less based on experience), the candidate will be rotated across various departments, such as inbound / outbound, inventory control, picking, and safety compliance. The purpose of this program is to provide hands-on experience in each operational area, enabling the candidate to gain a deep understanding of all facets of warehouse management. At the end of the attachment plan, the candidate will be assigned to a specific department within the warehouse operations team, based on their demonstrated strengths, career interests, and business needs.
Qualifications:
  1. Tertiary qualification
  2. Two to three years' experience in an Operational role preferred.
  3. Strong analytical and problem-solving skills.
  4. Excellent communication and interpersonal skills.
  5. Ability to work in a fast-paced, dynamic environment.
  6. Proficiency in Microsoft Office Suite and warehouse management software such as SAP.
