Job summary

PSMP is seeking a Manager: Vendor Management to oversee centralized vendor management across multiple business units and regions, ensuring suppliers meet GMP, quality and regulatory standards. The role leads vendor qualification, audits, risk management, CAPAs and ongoing compliance, while maintaining vendor master data in SAP/Qinfo.

It also involves developing and harmonising SOPs, training teams on quality and GMP requirements, and monitoring supplier documentation.

Qualifications

• 8–10 years in Quality Assurance or Vendor Management within pharma.
• Experience with vendor qualification and GMP audits.
• Experience in risk assessments for suppliers and materials.
• Familiarity with FDA/EMA/WHO/SAHPRA regulatory requirements.
• Exposure to SAP/Qinfo vendor master data management.

Responsibilities

• Lead vendor qualification, approval, periodic review and ongoing compliance monitoring per GMP and regulatory requirements.
• Plan, coordinate and conduct supplier and CMO audits, including CAPA management.
• Conduct vendor/material risk assessments and regulatory evaluations.

• Maintain approved vendor lists and vendor master data in SAP/Qinfo.
• Develop and harmonise vendor management SOPs and provide training on GMP requirements.
• Maintain vendor compliance documentation (GMP certificates, licences, quality agreements).
• Monitor vendor performance and drive corrective actions and continuous improvement.
• Compile and analyse vendor quality reports and risk information for management decisions.

Job description

Our global pharmaceutical client is seeking a Manager: Vendor Management to oversee centralised vendor management activities across multiple business units and regions. The role is responsible for ensuring suppliers of finished products, excipients and packaging materials meet applicable GMP, quality and regulatory standards, while leading vendor qualification, audits, risk management, technical agreements and ongoing compliance monitoring.

KEY RESPONSIBILITIES

• Lead vendor qualification, approval, periodic review and ongoing compliance monitoring in accordance with GMP, quality and regulatory requirements.

• Plan, coordinate and conduct supplier and Contract Manufacturing Organisation (CMO) audits, including management and closure of audit findings and CAPAs.

• Conduct vendor and material risk assessments, impact analyses and compliance evaluations, including assessments relating to regulatory actions and quality concerns.

• Initiate, review, coordinate and maintain Technical Quality Agreements (TQAs) and ensure agreements remain current and audit-ready.

• Maintain approved vendor lists and ensure accurate, complete and current vendor information and master data within SAP/Qinfo and relevant systems.

• Develop, maintain and harmonise vendor management SOPs, and provide training to relevant teams on quality and GMP requirements.

• Maintain and control vendor compliance documentation, including GMP certificates, manufacturing licences, quality agreements and supporting regulatory documentation.

• Monitor vendor performance, identify quality or compliance gaps and drive corrective actions and continuous improvement.

• Compile and analyse vendor-related quality reports, performance metrics, audit outcomes and risk information to support management decision-making.

• Collaborate with internal stakeholders, vendors and external partners to support vendor compliance, regulatory readiness and continuity of supply.

MINIMUM REQUIREMENTS

• Bachelor's Degree in Pharmacy, Pharmaceutical Sciences, Chemistry or a related Life Sciences field.

• Postgraduate qualification in Quality Assurance, Regulatory Affairs, or Supply Chain Management is preferred

• 8-10 years' experience in Quality Assurance or Vendor Management within the pharmaceutical industry.

• Proven experience in vendor qualification and audits, including GMP compliance.

• Experience conducting risk assessments and impact analyses for suppliers and materials.

• Experience reviewing and managing Technical Quality Agreements (TQAs).

• Experience managing regulatory compliance requirements, including FDA, EMA, WHO and SAHPRA requirements.

• Familiarity with SAP/Qinfo systems and vendor master data management.

• Exposure to multi-site and multi-region vendor management and global coordination.

The ideal candidate will have strong knowledge of pharmaceutical manufacturing processes, raw materials and packaging components, with the ability to interpret regulatory requirements and implement effective compliance strategies. Strong audit planning, CAPA management, documentation control, communication and negotiation skills are important, together with the ability to manage vendor and stakeholder relationships across a complex, multi-regional environment.
