The Role: Managed Services Administrator
This role supports the Managed Services department by ensuring the seamless coordination of engineer schedules, administrative processes, and client communications. The successful candidate will act as the backbone of the service operation, managing multiple admin tasks and delivering excellent service across all internal and client-facing functions.
Key Responsibilities
- Answer incoming office calls and provide triage support or callout requests
- Schedule and coordinate engineer visits and PPMs
- Organise remedial and small works in the engineer's diary
- Set up new service contracts and update tenders in Construction Manager
- Close, resend, or refresh old quotes as required
- Keep clients informed of completed remedial works
- Create and issue RAMs and permits for new PPMs and small works
- Order the necessary hardware and equipment for the jobs
- Raise and issue invoices via email or upload to client platforms
- Complete pre-qualification questionnaires and H&S documentation for new clients
- Follow up with engineers on late reports, timesheets, and expenses
- Close out completed jobs in the Construction Manager
- Ensure backups from job sites are properly uploaded and labelled
- Liaise with the admin and IT to equip new starters
- Perform additional administrative duties as needed
About You
- 2+ years of experience in administrative support, ideally within a service-based business
- Proven experience with Microsoft Office programs
- Experience in a Construction Manager or similar platform is advantageous
- Familiarity with the UK market is a strong plus
- Strong organisational and multitasking skills
- Excellent verbal and written communication skills
- Detail-oriented and proactive in completing tasks
- Tech-savvy and confident working with online platforms
