Maintenance Coordinator

Reports to : Regional Manager

Location : Remote

ROLE :

Your job will be to coordinate all our maintenance needs. You will be responsible for making sure our staff is fully booked days in advance, respond to emergencies, and reorganize the schedule for the right priorities. You will work closely with our Regional Manager to communicate maintenance issues and solutions to owners. Responsibilities include scheduling inspections, preventative maintenance, managing schedules, communicating with tenants and vendors, and assigning work to team members.

RESPONSIBILITIES :
  • Communicate daily with the Regional Manager and maintenance team
  • Coordinate work and regularly update tenants
  • Schedule all Melds, Inspections, and Preventative Maintenance Program
  • Create schedules for unit turns, remodels, and forecasting work
  • Monitor Maintenance Software, manage Work Orders, and prioritize them
  • Request quotes from third-party vendors
  • Suggest improvements and enforce internal processes
RESULTS :

Timely response to maintenance requests:

  • ASAP - Emergency – respond immediately, with mitigation the same day.
  • 8 hours - All other tenant-driven Melds
Follow up :
  • Next day: assign to technician, vendor, or update tenant
  • Every 16 business hours: subsequent follow-up
  • Goal: resolve non-urgent maintenance within 3 business days
Property Meld management :
  • Review all messages 3 times a week (Monday, Wednesday, Friday)
  • Respond to tenant questions, update on progress
  • Prompt tenant responses and close Melds after 2 prompts
  • Follow up to ensure timely completion of work
  • Manage payments and update property information in Meld
Maintenance schedules :

Created 2 weeks in advance, including:

  • Work orders driven by tenants
  • Inspections, housekeeping, landscaping, hardscaping
Vacancy Elimination :
  • Schedule inspections per unit turn schedule
  • Respond to 30-day notices within 8 business hours
  • Coordinate move-outs and move-ins within specified timelines
  • Manage onboarding, convert work orders, and schedule cleaning
Monday.com :
  • Maintain zero overdue tasks
  • Create semi-annual inspection and preventative maintenance schedules
  • Update Regional Manager daily
  • Gather quotes from third-party vendors as requested
REQUIREMENTS :
  • Excellent written and verbal English skills
  • Ability to learn software tools quickly
  • Fast internet, camera, multiple monitors, and good computer equipment
  • Experience in a fast-paced environment
  • Smartphone
