Job description

The Leasing Manager is responsible for leasing properties in the Pareto portfolio. They attract and

secure tenants, negotiate lease agreements, and maintain positive landlord-tenant relationships. The Leasing Manager works closely with Asset Managers, prospective tenants, and internal teams to ensure optimal occupancy rates, tenant satisfaction, and profitability. The role plans and performs administrative activities. Establishes policies and prepares rationalisation programs. Focus on developing administrative systems and structures to enhance the efficiency of subordinate areas and support functions per the pre-established technical and economic feasibility parameters. The role is responsible for formulating the property or centre’s strategic letting plan that will inform the projected income for the asset through optimally leasing all premises within the property's, managing non-GLA income and being responsible for all operations of the leasing department. The role will be based at Menlyn Park Shopping Centre.

Strategic Letting Plan

  • Analyse the overall financial performance of the center, category performance and tenant-specific performance.
  • Implement the strategic letting plan timeously in terms of the agreed timeline.
  • Perform rental assessment and ensure achieved rentals are market related.
  • Understand the actual value of the lease and the impact of tenants' performance.
  • Create optimal tenant mix that will maximize center turnover and retailer profits and therefore optimal rentals for the center, or for the property.
  • Ensure timeous renewals and relocation of existing tenants and make recommendations to right size tenants.
  • Monitor, track and stagger lease renewal.
  • Ensure compliance to the standard leasing process and procedure.
  • Maintain tenant waiting list for prospective tenants.
  • Negotiate leases.
  • Ensure that leasing actions are thoroughly documented.
  • Create and maintain good relationships with retailers, and other clients.
  • Undertake site visits, for canvassing of tenants and meeting of tenants on site.
  • Analyse existing tenant mix in the center portfolio.
  • Analyse the center’s market research

Income Budget

  • Optimize Gross Income

Optimize and Maximize Net Income

  • Source new tenants for vacancies in the center.
  • Assess tenant installation contributions, and manage tenant fit-out process.

Administration and Performance of Leasing functions

  • Obtain and analyse business plans for all prospective and existing tenants.
  • Ensure all tenants are credit vetted.
  • Verify captured tenant data.

Client Relations

  • Represent the company in lease negotiations with tenants.
  • Take up building related problems with center’s operations manager and operations team.
  • Field tenant queries and follow up until resolved.
  • Ensure effective and efficient internal communication with tenants.
  • Maintain inter departmental relations.
  • Prepare and motivate appropriate plan and strategy for vacancies.
  • Advise leasing administration of all tenants vacating and obtain reason for tenant promptly and timeously.
  • Ensure that requests, questions and problems are courteously and professionally resolved.
  • Ensure that the company’s professional reputation is maintained.

Marketing of vacant spaces and the mall as a brand

  • Keep informed of market trends and competitors.
  • Assist, serve and inform related departments as needed.
  • Attend and participate in meetings and committees as required.
  • Ensure that changes in legislations and By-Laws are integrated into current practices.
  • Complete special projects as assigned.

Working relationship with area staff and management

  • Coordinate leasing efforts with related departments.
  • Ensure effective and efficient internal communication

Adhoc Duties

Stay abreast with leasing practices and trends.

Qualifications and Experience

  • Related Leasing / Legal Diploma
  • 5 – 8 years of progressive retail leasing experience
  • 3 years supervisory experience preferred.
